Tool for Data Management Plan, DMPonline
According to Stockholm University policy you should create a data management plan (DMP) for your research project. Several funders require DMPs. The plan isn’t binding but rather intended to function as a support to you during the research process, and should thus be updated as the project changes. Creating a DMP helps you:
- Plan for data management needs.
- Ensure that you have taken the necessary precautions in your data management.
- Make sustainable data management choices, so that your research data will be accessible and reusable in the future.
- Plan for how you can make your research data as open access as possible and as closed as necessary.
- Preserve the knowledge of how research data was handled in the project, in one place.
As a researcher or doctoral student at Stockholm University, you can create, review and share digital DMPs using DMPonline from Digital Curation Centre. You create an account by logging in with your university account.
The tool contains DMP templates based on the requirements from specific funders, such as the Swedish Research Council and Horizon Europe. A locally developed template (the SU-VR template) consists of machine-readable multiple choice questions, to facilitate the completion and future archiving of the DMP.
The Swedish National Data Service (SND) has formulated a useful checklist that can support as you create your DMP. It can help you identify what needs to be addressed in your specific project and in practice help you make more sustainable choices for your research data. The checklist is a translation of the SND's checklist in Swedish, which contains more extensive information for each element.

Electronic Lab Notebook, LabArchives

Electronic Lab Notebooks (ELN) are notebooks where you can digitally document research planning and research results in, for example, experimental research. In an ELN, you can collect and manage information about methods, analyses, results and software used in your project. Additions and changes are logged and traceable, and material in the notebook is easy to share with authorised collaborators for increased efficiency and transparency.
Stockholm University offers researchers and doctoral students LabArchives, which is a secure, cloud based ELN-tool suitable for a number of research disciplines. LabArchives ELN can support a suite of data types and file formats and can be integrated with other tools and platforms to assist the research process.
Departments (or Principal Investigators, PIs) can order licenses. The Research Data Management Team at Stockholm University Library processes orders and, after authorization, licenses are allocated to PIs listed in the order. PIs that are allocated a license can then add group members via the IT Account Management system. LabArchives also offers a free trial period which you access by creating an account on their website. The account can thereafter be converted into a paid license if you wish to continue using the system.
A LabArchives ELN license costs 1290 sek/year/user. Stockholm University Library charges the department in advance for the whole year when orders are placed. Each department decides if costs are carried by the department or by individual research projects. Therefore, speak to your head of department if you as a PI or doctoral student have questions about financing an ELN.

Secure storage of research data in Sunet Drive/Nextcloud
Sunet Drive/Nextcloud is a secure storage solution based on Nextcloud and Sunet's S3 storage in a private cloud. The storage offers the ability to both share and control access to research data within and outside Stockholm University. The provider, Sunet (Swedish University Computer Network), is part of the Swedish Research Council.
Is Sunet Drive/Nextcloud free?
As a researcher or doctoral student, you are offered a free storage space of 200 GB* per research project in Sunet Drive/Nextcloud. Each research project has a unique project folder where you can store and preserve the research data and other research information.

(*) Additional storage space can be ordered at a cost of 6 cents per extra gigabyte per month. This is equivalent to 6 SEK per 100GB per month.
Does Sunet Drive/Nextcloud include backup?
Yes, a complete backup is performed once a month in Sunet Drive. The backups are stored for 6 months. Every night, an incremental backup is done. There is also data mirroring, which means that if one hard drive fails, data can be retrieved from the other mirrored hard drives.
Can I share my research data and collaborate with others (within and outside of Stockholm University)?
Yes, you can share your research data and collaborate with others within and outside of Stockholm University, specifying the rights granted to others with access. Several universities in Sweden are connected to Sunet Drive/Nextcloud.
Individuals who are not employed by Stockholm University or affiliated institutions can log in with EduID to access the storage areas that someone at Stockholm University has granted them permission to.
In the Sunet Drive/Nextcloud web interface, you and your colleagues can work simultaneously on the same document. This applies to all documents compatible with the Office format. Each document includes a version history that shows when the document was last modified. Collabora Office is included in Sunet Drive.
Can I sync my research data in Sunet Drive/Nextcloud to my computer?
Yes, you can sync your research data in Sunet Drive/Nextcloud with your computer using Nextcloud's desktop client. The Nextcloud app can be installed from the Software Center on SUA computers (only accessible on campus or via VPN). Follow the instructions in the guide to log in.

How secure and GDPR-compliant is Sunet Drive/Nextcloud?
Technically, the solution provides good information protection.
- The service is located on Swedish servers.
- The solution is designed to protect research data from other actors or nations that could compromise its integrity, as the storage is based within Sweden's borders.
- The storage solution is structured and configured to guarantee technical compliance with information security and GDPR.
- Sunet and its subcontractors are bound by confidentiality.
- In the fall of 2023, Sunet will implement multi-factor authentication for individual folders.
The user is responsible for the following:
- To ensure that personal data is handled correctly in the system, researchers with research projects involving personal data may need to conduct a Data Protection Impact Assessment (DPIA) according to GDPR. There are tools that can help you determine if a DPIA is required and if so, how to perform it. Note that a DPIA may need to be conducted regardless of where you choose to store your data.
- It is the responsibility of the researcher and the project to ensure that only authorized individuals have access to the information.
- Each researcher and project must define their need for backup storage for all or parts of their data.

Before you can order a project folder, you (and other folder owners) need to log in to Sunet Drive to activate your user accounts. Go to https://su.drive.sunet.se, select the "Stockholm University" login option, and log in with your university account. Employees at other institutions should choose their respective login option. All other external users log in via "eduID".
After that, you can order your project folder through our order form. You use the same order form to request additional storage space.
Currently, Sunet Drive/Nextcloud can handle file sizes up to 30 gigabytes.

Tools for data collection and analysis
Depending on your field of research there are many practical tools that can help facilitate your research, such as survey tools or analysis software. Some tools are open source and therefore free to all, while others require a licence. The IT department lists the tools the university offers under Software licences. Always consult the Data Protection Officer to be sure that the tools you use are secure for your type of research data.

The National Academic Infrastructure for Supercomputing in Sweden (NAISS) is the new infrastructure organization for high-performance computing, storage, and data services for academic users in Sweden.
The resources are available free of charge to Swedish researchers in all types of research.

Applying to EuroHPC can be tricky, but EuroCC National Competence Center Sweden (ENCCS) can assist you with selecting an appropriate EuroHPC resource, writing a proposal and getting access.
