When contacts are taken directly with the department/researcher

If a donor contacts a researcher or department directly, the foundation officer at REIS can provide assistance in a number of ways. 

Risk assessment

The department is responsible for making a risk assessment of the donor. REIS assists the department. 

Approval from the President, the Deputy Vice President and the Head of department

The foundation officer contacts the President, the Deputy Vice President concerned and the Head of department to gain their approval.

Deed of gift/agreement and review

Draw up a deed of gift/agreement which specifies the focus and forms (including feedback) of the donation. The foundation officer provides assistance with a template for a deed of gift. If it is deemed necessary, the deed of gift will be forwarded to the University’s lawyers for a final review. The finalized draft is then sent to the donor for a review.

Signing

Signing in accordance with the Decision-Making and Delegation Procedure for Stockholm University. When the deed of gift has been signed, the foundation officer contacts the President and the Senior Management Team concerning the decision about the donation.

Project number for the donation

When both parties have signed the deed of gift, the department will open a project with a specific project number.  A copy of the deed of gift must be attached to the project setup. The project number shall be given as a reference upon payment of the donation to the University.

Letter of acknowledge

A draft for a thank you letter is written by the recipient of the donation and is forwarded to the foundation officer who ensures a signature by the President. The letter is then sent to the donor by the person responsible for the administration of the project.

Reference number and archiving

The foundation officer is responsible for registration and archiving. After the signing, an original of the deed of gift is sent to the donor by the person responsible for the administration of the project and a copy is  retained at the department.

Communication

Communicate about the gift on the website of the department. Tell about the researcher who has received the gift, what the money will be used for, the name of the donor and, if possible, include a picture and a quotation from both the researcher and the donor.  Send a link to the foundation officer. It is also recommended that you send the link to the Communications Office with the suggestion that they publish the news in one of their media channels.

Follow-up

After consulting the department and the Senior Management Team of the University it may be considered appropriate to invite the donor to an event or lecture.  This can be the occasion “on the spot” to show the contribution made thanks to the donation.
