Room bookings
Meeting rooms
You can book the meeting rooms C502A (Kuling) and C502B (Storm) yourself in TimeEdit. You need to specify the following information:
- Room
- Date
- Time (from, to)
- Name of the person the room will be booked for
- Reason (meeting, seminar etc.)
Lecture halls
Lecture halls are booked by the student office. You can request a booking by including the same information as for the meeting room bookings in an email to studentexp@misu.su.se.
Booking rules
- You can book meeting rooms for one semester at a time. Reservation of the next semester opens when the administration is done with the reservation of rooms for e.g. seminars.
- Bookings must be at least 15 minutes long, and no longer than 12 hours.
- There are no restrictions on the time of day for bookings or the number of individual reservations.
- Scheduling of teaching (undergraduate and graduate) are still made by the student office.
- Department teaching will always be prioritized. Should the meeting rooms be needed for this, any meeting might be moved to another room.
Additional information
- Online bookings can be edited by the individual who made the booking, as well as by the student office.
- "Booked by" and "Purpose" is mandatory information for the booking. "Reservation Comment" is optional.
- The information under "Booked by", "Purpose" and "Reservation Comment" will be visible in the schedule.
Seminar bookings
Seminar times at MISU
There are two regular seminar times at MISU every week:
- Tuesdays at 11.15-12.15 (Researchers and guests)
- Thursdays at 14.15-15.15 (PhD students)
The seminars are usually held in room C609 (Rossbysalen). Upcoming seminars are listed in the calendar.
Booking a seminar
To book a seminar, either for yourself or for a guest, please send an email to Marianne Lagerklint with the following information:
- Date
- Name of presenter
- Affiliation
- Type of seminar (IMI, guest, research, review etc)
- Title of seminar
- Abstract (if any)
- Zoom link (during the Corona pandemic)
Seminar guidelines
- PhD and staff seminars should consist of 30 minutes of presentation, followed by 10 minutes of discussion. The first 2 minutes of the discussion, the audience are asked to discuss relevant potential questions with their neighbors in the the room.
- Guest seminars should consist of a 45-minute presentation followed by 15 minutes of question time.
- The guests can choose between a smaller group seminar organized by the host/research group or a broader seminar for the entire department. In the latter case the guest should be informed that the audience is diverse and an extended introduction is suggested (~20 min).
Travel information

Checklist Official travels
Here is a short list of things to consider before and after making a trip:
- You need to use Egencia to book your train, boat or flight. Please, see more information below.
- Accommodation is usally suggested by the conference/course/host. If not, please have a look at our Green Hotels. Make sure to save all receipts.
- Before leaving, you need to fill out a Travel Notice (Reseanmälan) and send to registrator@misu.su.se together with a copy of your Letter of Invitation (Letter of Invitation, i.e. from university, organization, conference or other, that you will attend in your position as employee at Stockholm University). The form Travel Notice / Reseanmälan can be retrieved from the X-server.
- During travel, make sure to save all tickets/receipts from public transportation/taxi. However, please consider our environmental policy before taking a taxi.
- On return, please fill out the travel invoice in Primula as soon as possible. More information can be found below.

Booking
You have to book all work-related travels through the travel agent Egencia. They provide a self booking system and can also be contacted for personal service.
Travel invoice
Invoices are created and sent online through Primula. Quick reference guides in Swedish are available in Primula under "External links": "lathund inrikes reseräkning" for travel within Sweden and "lathund utrikes reseräkning" for travel abroad. Print, sign the invoice and any appendices and give them to the Financial administrator, along with all receipts and tickets you got during your trip.
Insurance when traveling
You are insured by the government when you travel is work-related.
The conditions for the insurance can be found at:

Travelling with EU, it is recommended that you bring the European health insurance card ("Europeiska sjukförsäkringskortet"), which can be ordered from The Swedish Social Insurance Agency ("Försäkringskassan").
When being treated abroad, you pay the treatment yourself and get the compensation upon return, if applicable. Make sure you save the receipts.

Monetary support for PhD students
All MISU PhD students can apply for monetary support of 15,000 SEK during your studies. The application must be submitted in advance of the trip and is approved by the Head of the department. The application is submitted to the financial administrator and should include a motivation, information about the travel (e.g., dates), a detailed budget, and your signature.
If you are a member of the Bert Bolin Centre for Climate Research and the Climate Research School (CRS), you can also apply for financial support for courses and conferences.
