Background and purpose

The survey on working climate, leadership and performance reviews is part of Stockholm University's employee survey 2021–2023 and part of Stockholm University's systematic work with environment and equal opportunities. It is within the managers' responsibility to investigate, assess risk, remedy and follow up the organizational and social work environment in their operations. Conducting regular and systematic employee surveys is one of the tools to fulfill this responsibility.

The purpose of this survey is to map how Stockholm University's employees experience conditions in their work in terms of working climate, leadership and performance reviews. This is to give managers a foundation to develop the social and organizational work environment in the workplace.


Preparations

Organization files

The HR Office takes out a preliminary list from Primula containing all employees at your department/office who, according to current criteria, should be offered to answer the survey. Your task is to review and supplement the list according to the instructions that accompany the mailing. The finished list should be sent back to the HR Office, medarbetarundersokning@su.se, for further processing no later than September 19.

Department or office specific questions

Departments/offices that have e.g. undergone an organizational change or other change that has had an impact on the work environment, can ask their own department/office-specific questions. Any questions, both in Swedish and English, need to be sent to the HR Office, medarbetarundersokning@su.se, no later than September 19, 2022. Instructions and template for the questions accompany the mailing to the heads of department/office in connection with the organization files being sent out on August 18, 2022.

Information seminars

During September/October 2022, the HR Office, together with the supplier Quicksearch, will conduct four digital information seminars for managers. The participants get information about the structure of this autumn's employee survey, training in methodology and insight into the supplier's portal: what you as a manager need to do and what support is at hand. All heads of department, administrative managers, heads of offices and sections are especially recommended to attend one of these seminars.


About the survey

The survey consists of three parts:

  1. Working climate
    The working climate is one of the cornerstones of the social and organizational work environment. The survey will highlight areas such as respect, appreciation, participation, job satisfaction, recovery, balance, conditions, workload, etc.
  2. Leadership
    Leadership constitutes a large part of the employees' perceived work environment and the survey should provide a general picture of how leadership works at the department/office.
  3. Performance reviews
    Performance review is an important part of the systematic work environment management and should be an annual structured and work-related dialogue between the immediate manager and employees. Since there is a presidential decision that performance reviews should be conducted annually, it is important that they are followed up.

Please note that the survey only concerns the organizational and social work environment and that no questions are asked about the physical work environment.

The survey will be available in both Swedish and English.

When

The survey will be conducted during the period 24 October to 13 November 2022 via a survey tool in collaboration with the supplier Quicksearch.

During the morning of October 24, 2022, all participants will receive an email with a link to the survey. If the participant does not respond to the survey, they may receive several reminders during the period when the survey is open. The survey closes on 13 November 2022 at 23:59.

Participants

The survey will be answered by all employees and scholarship-funded PhD students/researchers who are working on August 1, 2022, and still working on November 13, 2022.

We recommend that those who participate in the survey work at least 50 % so that the participant has a reasonable opportunity to assess the work environment and be able to participate in the continued work environment work.

Employees on leave, full-time parental leave and full-time sick leave do not participate.

Response rate

It is important that as many employees as possible respond to the survey. In order for the result to be considered reliable, the response rate needs to reach at least 70 percent. The HR Office will keep heads of department and department heads updated on the current response rate. It is important that managers are engaged and can remind their employees of the importance of participating in the survey.
 

Result

Stockholm University's results will be presented to the deans, the University Director and the chief safety representatives in early December.

The results for departments and offices will be available to all authorized managers in early December in the provider's web-based portal. Managers will receive their login details to the portal by e-mail December 1. The portal contains the results and it is easy to download finished reports. The result report also contains comparisons and benchmarks.

In order to guarantee anonymity, the results will only be displayed for groups that have five or more answers. In the case of eight answers or more, the proportion of answers (the spread) will also be reported on each question.

Feedback on results and workshops

We recommend that the results be presented to employees at department/office level. We suggest that you book a half-day with the entire department/office where you present both the results to the department/office and work further with the results with the help of workshops. Workshops are advantageously held in smaller groups. Constructive dialogues resulting in action plan

The results of the employee survey should be seen as a starting point for constructive dialogues with the aim of jointly developing measures in the areas that need to be developed (low results) as well as measures to strengthen the success factors that already exist in the operations (high results).

The method is based on the principle that increased participation creates better conditions for implementing and succeeding with changes. It gives managers, employees and management a good foundation for continuing to work and create constructive discussions that drive development at several levels within the organization.

The dialogues will result in an action plan with concrete measures to develop and strengthen the result. The action plan should then become a part of the department's/office's ALV plan (work environment and equal opportunities plan).

Support

As a manager, you should be able to manage result feedback and workshops with the help of the support material that the HR Office produces. The support material will be sent out to all heads of department and heads of offices no later than the end of November and added to Quicksearch's web portal.

Those managers who need additional support can hire consultants from the supplier Quicksearch. Send a request for a quote to Quicksearch via Raindance. Go to Marknadsplatsen >> Tjänster – HR-tjänster >> Medarbetarundersökningar, or you can search ”Quicksearch” in the search box. The department/office is responsible for the costs. This order should be preceded by an agreement with the supplier on the date and time as well as any travel expenses. Also keep in mind the certification chain in Raindance as someone with order authorizations at your department/office needs to place the order, which you as a manager then certify.
